Versatech International Inc. (“Versatech,” “we,” or “us”) operates Vertex. This notice explains how we handle personal information when you use the portal or participate in a company purchase program.

This policy explains the personal information Vertex uses to run your company purchase program and fulfill your order. Vertex uses personal information to operate eligible purchase programs, process orders and arrange fulfillment. This notice describes Versatech’s processing. A participating company may also process its employees’ information for its own program; its own privacy notice should explain that separate processing.

Information and sources

We collect account details such as name, contact information, company affiliation; eligibility and approval status; product selections, order history, payment method and transaction status; delivery or collection details; communications with support; and security and portal usage records. We may receive an eligibility list or approval decision from your company.

Purposes and lawful basis

We use information to verify eligibility, create and secure accounts, request company approval where required, reserve available stock, complete payments, issue invoices, deliver products, manage returns and warranty cases, answer requests, prevent fraud, and meet tax and other legal obligations. Processing needed to provide a requested purchase may rely on the applicable contractual basis; legal recordkeeping on legal obligation; and security or improvement activities on another lawful basis only after Versatech assesses and records it. Optional marketing will have a separate choice when consent is required and will not be a condition of purchase.

Sharing and company visibility

Authorized Versatech staff and service providers may access information only to carry out relevant tasks. We may share necessary details with payment providers, couriers, manufacturers or service centers, and the participating company’s designated approvers. HR approvers should see only eligibility, employee name, order value and product details if necessary; company delivery coordinators should see only recipient and handover details. We may disclose information when law requires it. We do not sell personal data.

Storage security and retention

We maintain reasonable organizational and technical safeguards and limit access by role. Service providers handling personal data must be subject to appropriate written obligations. We retain data only for the period necessary for the stated purpose and applicable tax, warranty, audit and dispute requirements, then securely delete or anonymize it.

Your rights and contact

You may request information about your data, access or correction, and exercise applicable objection, deletion, portability and other rights. You may withdraw consent where consent is the basis, subject to processing otherwise permitted or required by law. We may verify your identity before acting on a request. You may also raise a concern with the National Privacy Commission. We will update this notice when processing changes and display the new effective date
